Main Purpose of the Internship
The British Embassy Bogotá is seeking a motivated and organised intern to support the daily work of the Private Office of His Majesty’s Ambassador and the Deputy Head of Mission. This role is well suited to a student at the beginning of their professional career who is keen to gain experience in administrative, organisational, and logistical tasks within a diplomatic environment.
The intern will provide administrative support to the Private Office team, including information management (primarily databases), preparation of basic documents, and assistance with administrative requirements related to residence events.
Applicants must be in the final semesters of studies in Administration, Foreign Languages, International Relations, or related fields, and must demonstrate strong written and spoken communication skills in both English and Spanish. The successful candidate will be reliable, detail-oriented, and comfortable managing multiple tasks accurately and efficiently.
Roles and Responsibilities
Administrative Tasks (Approximately 60%)
- Maintain and update office databases and records, including E-files, SharePoint, and spreadsheets, in line with Embassy information-management procedures
- Support the Chief of Staff and Executive Assistants with diary management, meeting arrangements, and follow-up actions
- Assist with day-to-day administrative duties, including correspondence management, preparation of basic documents, and file organisation
- Provide logistical and IT support for regular meetings and ad hoc Private Office requirements
- Complete written translations between English and Spanish when required
- Support general administrative, logistical, and record-keeping tasks
Residence Events (Approximately 40%)
- Act as the Private Office’s administrative point of contact for residence event planning
- Support the preparation and distribution of official invitations
- Manage guest lists and track attendance confirmations
- Assist with administrative coordination before, during, and after events, ensuring accurate records and smooth delivery
Essential Qualifications, Skills, and Experience
Essential on Arrival
- Strong proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, and internet tools)
- Excellent written and spoken English
- Ability to work to tight deadlines and manage multiple tasks simultaneously
- Strong time-management and prioritisation skills
- Currently enrolled in the final semesters of a university programme in Administration, Foreign Languages, International Relations, or a related field
- Responsible, well organised, and able to communicate clearly and professionally
- Customer-service oriented, with a positive and collaborative approach
- Full-time availability, with flexibility to support occasional evening work when required
Desirable Qualifications, Skills, and Experience
- Basic knowledge of, or interest in, the UK Government, British institutions, and UK culture
- Graphic design skills and familiarity with tools such as Canva, Illustrator, or similar
