Job Description
World Learning is issuing a general call for applications for Program Officers to support existing and potential projects on its Academic Exchange team. These programs may support international undergraduate students as well as American and international academics and professionals on exchange programs funded by the U.S. Department of State, Bureau of Educational and Cultural Affairs (ECA) and other donors.
Applicants must be eligible to work in the U.S.
Responsibilities may include some (or all) of the following:
- Supporting the development and implementation of robust program marketing and recruitment plans, including by actively engaging in virtual and in-person outreach at key events and through social media.
- Contributing to the creation of online program management systems for participant and host institution applications, peer review, and participant monitoring and reporting.
- Liaising with World Learning staff and outside contractors to ensure project management system operates to a high standard.
- Creating and supporting transparent and clearly articulated selection review processes for participants and host institutions, including recruiting diverse subject area experts as participants and reviewers.
- Liaising with all program stakeholders (e.g., donors, embassies, host institutions) on all aspects of program management to ensure highest-quality implementation.
- Overseeing sub-awards to host higher education institutions for compliance and performance.
- Establishing and maintaining close communication with host institutions to ensure strong program implementation and outcomes.
- Maintaining participant caseloads which may include coordinating all logistics; assisting in the visa process; conducting pre-departure orientations; monitoring participants’ engagement and success; and providing support in emergency situations.
- Preparing and overseeing program budgets, tracking, and monitoring all program costs, ensuring timely disbursing allowances, authorizing allowable payments, and working closely with Finance staff.
- Developing experiential program conferences and all attendant scheduling, travel, and logistics.
- Supervising and providing support and guidance to a Program Associate.
- Writing high-quality program reports (both regular and ad hoc) for funder.
- Contributing to an organizational culture of continuous learning through rigorous program monitoring, data tracking, donor and MERL reporting, research, and reflection to ensure strong outcomes.
- Supporting organizational business development targets through ongoing program implementation, funder relationship building, and through other means as directed.
- Demonstrating a curiosity about World Learning as a whole, with the aim of being able to effectively represent the organization to external audiences commensurate with the position.
Requirements
- Master’s degree plus three years of related work experience or a bachelor’s degree and five years of related work experience.
- Experience implementing U.S. Department of State-funded or other donor-funded exchange programs.
- Experience working with the U.S. higher education community.
- Strong written and oral communications skills and a professional demeanor.
- Commitment to fostering diverse, equitable and inclusive practices in program implementation and monitoring practices and challenging practices which may be exclusionary.
- Energetic and resourceful team player.
- Excellent organizational ability and keen attention to detail.
- International academic and/or professional experience.
- Proficiency with Salesforce and online application platforms highly desirable.
