Job Description

Dutystation: Cotabato City (Non-Family Duty Station), Philippines


Functional responsibilities


Under the supervision of the Project Management Support - Officer, the Administration Assistant (Project Management Support) provides operational, administrative, and knowledge management support to ensure the smooth implementation of project activities.

Key responsibilities include:

1. Administrative and Logistical Support
  • Coordinate logistics for project activities, including workshops, trainings, and meetings.

  • Assist in organizing and facilitating meetings, including preparation of agendas, invitations, venue setup, and post-meeting follow-ups.

  • Maintain project documentation, filing systems, and inventories in accordance with UNOPS standards.

  • Support the receipt and delivery of goods and services, including coordination with vendors and maintaining proper record-keeping.

  • Assist finance and procurement teams in preparing documents for payments, receipts, and vendor reconciliations.

2. Stakeholder Coordination Support
  • Maintain and update stakeholder contact lists and project databases.

  • Support engagement with partners and other development actors by scheduling meetings, sharing information, and following up on agreed actions.

  • Act as a point of contact for administrative coordination during meetings and project activities.

3. Monitoring and Reporting Support
  • Assist in monitoring the status of project implementation across outputs and deliverables by supporting data entry, recording of attendance, and compiling activity data to support the preparation of reports.

  • Gather and compile data from project activities to support progress tracking.

  • Based on project tracking, identify observable activity level issues or delays during the conduct of activities and report to manager for appropriate corrective actions or follow-up measures.

4. Knowledge Management Support
  • Assist in the documentation and maintenance of lessons learned, best practices, and other project knowledge products.

  • Contribute to knowledge sharing within the project team and with partners.



Education/Experience/Language requirements


Educational Requirements:
  • Completion of Secondary School is required.

  • A university degree in public administration, development studies, political science, or a related field is an asset and may substitute for part of the required experience.

Experience:
  • Minimum of two (2) years of relevant work experience in project support, administration, or related fields, is required
  • Experience working with diverse stakeholders is desired.

  • Familiarity with GSuite and basic project administration tools is an asset.

  • Some knowledge of public administration, governance, or justice sector processes is an asset.

Language:
  • Fluency in the English language is required.
