Senior Compensation and Benefits Manager

Job Description

The Sr. Compensation and Benefits Manager manages the day-to-day compensation and benefits-related activities. The Sr. Manager works closely with other HR staff and the organization leaders to review and update existing benefits and compensation policies and ensure the organization complies with existing legislation. She/he develops and implements the reward strategy, including salary benchmarking, pension arrangements, benefits management, and annual compensation events such as bonus and salary review. The Sr. Manager will stay abreast of trends in the US and international markets, network with other compensations and benefits professionals, and provide thought leadership regarding progressive practices to attract and retain the right talent. The Sr. Manager regularly evaluates competitor compensation and benefits packages, contributes to the design of compensation and benefits philosophy and programs, monitors the payroll interface to ensure compliance and data integrity, and manages third-party HR vendor resources such as brokers and consultants. The manager also develops and delivers programs to educate the managers, executives, leaders, and employees on programs and processes throughout the year and reinforces company culture in compensation and benefits programs. In addition, she/he manages and oversees the organization’s Human Resource Management System (HRMS). The position will report to the Vice President – Human Resources and works closely with the global HR team, and across the organization. The Sr. Compensation and Benefits Manager will be expected to have supervisory duties.

DUTIES AND RESPONSIBILITIES

  • Compensation Management
    • Manages the development, implementation, and administration of compensation programs.
    • Monitors the effectiveness of existing compensation practices and recommends cost-effective changes consistent with compensation trends and the organization’s objectives.
    • Provides advice to the home office and international staff on pay decisions, policy interpretations, and job evaluations (job analysis and job classification).
    • Designs creative solutions to specific compensation-related programs and incentive plans.
    • Develops techniques for compiling, preparing, and presenting compensation data.
    • Oversees the participation in salary surveys and monitors salary survey data to ensure the organization compensation objectives are achieved.
    • Ensures compliance with federal, state, and local compensation laws and regulations.
    • Drives annual review and documentation of salary planning, working with home office managers and country leaders, executives, and finance to ensure plans are aligned with business objectives and are easy to administer.
    • Responsible for compensation analyst, including job analysis, internal and external equity reviews. Conducts annual benchmarking of pay ranges and recommends changes.
    • Maintain and update the US salary structure while supporting the HR Business partners with global salary structure and internal/external equity reviews.
    • Oversees mapping of internal job titles with external markets aligned with external surveys.
    • Handles the Organization’s job tables (i.e., job titles) with an eye on simplicity and scalability.
    • Ensures job titles reflect correct market codes and work with HR Partners to ensure all employees are mapped accurately in the HR systems.
    • Create and manage salary structure for US and global projects.
    • Train HR Partners on the salary survey process.

  • Benefits Administration
    • Evaluates IntraHealth’s US benefit programs against market trends and best practices within the industry and provide recommendations.
    • Drives the design of the benefits plans, working with the VP- Human Resources, Chief Finance and Administration Officer, and other organization’s leadership.
    • Participates in annual benefit renewal processes evaluating and analysing the renewal as presented by the vendors and benefits broker. Coordination, planning, and communication of annual enrolment.
    • Oversees the day-to-day administration of group benefit programs (medical, dental, vision, short-term and long-term disability, flexible spending plan, 401(k), etc.).
    • Manages 401(k) plan and pension plans, including annual audit; compile and report census data for the annual non-discrimination testing.
    • Communicates with third-party services to negotiate benefit plans and resolve benefit-related issues. Manage relationships with key vendors and third parties, including benefits brokers.
    • Oversees day-to-day benefit election entries and eligibility. Oversee vendor reconciliation and vendor management.
    • Audits and reconcile benefit plans and benefit-related invoices, process discrepancy reports.
    • Works closely with brokers and outside counsel to ensure plans remain in compliance, including annual 5500 filings, audits, communications, amendments, and plan documents.
    • Assures compliance with all applicable federal and state statutes, including (but not limited to) ERISA, HIPAA, FMLA, ADA, and OSHA.
    • Assists employees regarding benefit questions, administering employee benefits orientation, annual enrolment meetings, and developing/delivering the internal communications around benefit information.

  • HRMS Administration
    • Manages functionality and data integrity of HR systems, focusing on implementing the UltiPro system across the global organization and work to ensure HR systems and data are efficiently utilized, maintained and available throughout the global organization.
    • Performs group data updates, exports, imports, clean-ups, and research/report on any data discrepancies, work with the HR team and vendors as appropriate.
    • Maintains awareness of vendor’s plan for system enhancements and the potential impact of those plans on current and future HRIS functionality.
    • Manages vendor interfaces.
    • Manages UKG Pro (workflow, user administration, compensation and salary administration, benefits administration, employee self-service, annual open enrolment, onboarding, recruiting, performance review process and global HR administration).
    • Oversees the facilitation and training of our electronic file management system, PeopleDoc and background screening process through the HireRight system.
    • Manages the day-to-day support to end users, troubleshoot issues and recommend solutions

  • Compliance Management
    • Oversees compliance reporting such as Vets-100, Affirmative Action Program, PPACA and EEO-1
    • Prepares reports, graphs, charts, statistics and HR metrics in support of human resources strategic and transactional needs for Executive members and Board of Directors

  • Supervision & Development
    • Supervises and trains HR Officer and HRMS Specialist

REQUIRED EDUCATION AND EXPERIENCE

  • Bachelor’s Degree in Human Resources, Psychology or relevant degree + 12 years working in human resources, and two (2) years of compensation experience, or
  • Masters’ Degree in Human Resources, Psychology or relevant degree + 10 years working in human resources,
  • Six (6) years of experience managing in Compensation and Benefits required.
  • Six (6) years of experience in implementing an HRMS required, including the configuring, maintaining, upgrading and troubleshooting of various HRMS applications that include payroll, recruiting and benefits.
  • Five (5) years of supervision experience.

PREFERRED EDUCATION AND EXPERIENCE

  • Two (2) years administrator experience with UKG Pro (former UltiPro)
  • Proficient in French and/or Spanish (written and oral)
  • CCP, SHRM-SCP, SHRM-CP, SPHR or PHR certification
  • Demonstrated experience working across a variety of cultures and international business experience.

  • Knowledge of all federal, state and local regulations and compliance requirements related to employee compensation.
  • Strong analytical skills and ability to interpret and communicate data.
  • Excellent customer service skills including understanding users’ needs, offering solutions and following up to ensure end user success.
  • Initiative and drive to continuously improve processes and systems.
  • Solid project management skills including attention to detail, highly organized.
  • Strong problem-solving skills
  • Proven ability to work effectively in teams and with individuals at all levels within an organization; understanding of cultural contexts and international work experience preferred.
  • Experience managing several tasks and priorities and exercise independent working; a self-starter.
