Job Description

Chemonics International is seeking a Sr. Operations Manager with the Office of the COO. The COO office convenes Chemonics’ support departments such as Business Optimization, Global Safety and Security, and the Legal Office to support some of the critical business priority areas across the enterprise. The COO office also coordinates support units to streamline our structures and systems in an efficient and scalable manner. The Senior Operations Manager in the COO Office serves as a strategic and operational management resource in areas of recruitment, onboarding, talent management, budgeting, event and meeting management. The senior manager also provides direct operational, coordination, and communications support to executives in the COO Office and surge support to the Support Unit executives, as needed. The senior manager is responsible for ensuring that sound management principals and tools are used in the operations of the division and implementation of its work. Responsible for managing the completion of tasks related to implementing staff satisfaction and professional development initiatives for the COO office. Responsibilities:

  • Provides senior-level management, operational, and administrative expertise to the division
  • Manages all operations, including but not limited to talent management, staff engagement, staffing and resourcing, performance management, staff recognition and events, budgeting, and financial management
  • Advises the operations director of, and at times leads, the development and implementation of support operations strategies, plans, and procedures, and ensures consistency in all operations across the divisions, and the SUs, if relevant
  • Works closely and proactively with the Operations Director to the division well informed of upcoming commitments and responsibilities, taking a managing-up approach. Acts as a “barometer,” having a sense for the issues taking place
  • Manages COO Office budgeting, updating staffing tool template as delegated, and helps review and track invoices, contractors, expense reports and consultants’ timesheets
  • Supports the Ops Director, and in some cases will lead coordination task across the Support Units
  • Coordinates recruitment and performance assessment activities for the division
  • Proactively identifies risk, develops plans and strategies to address, and advises leadership on steps to lessen impact or mitigate those risks
  • Proposes and, in some instances, leads the development of processes, policies, and programs to effectively identify, manage, and mitigate risks and support divisional goals
  • Identifies opportunities for knowledge- and solution-sharing across company and takes initiative to build staff and company capacity
  • Creates a productive, motivating work environment by promoting cooperation and team work; staying abreast of management, leadership, team building strategies; and advocating for them within the team
  • Manages follow up from email correspondence, SharePoint and Teams agendas and other notes and ensures that all “action items” and “next steps” are properly prioritized, tracked and executed in a timely fashion
  • Prioritizes resolution of conflicting needs; handles matters expeditiously and follows-through on projects to successful completion, often with deadline pressures
  • Supervises, mentors, and evaluates operations team staff, communicating clear performance goals and standards, offering regular performance feedback, prompt resolution of problems, and time and opportunity to grow and develop in key competency areas
  • Participates in high-level new business roles, including coordinator, cost-preparer, management writer, proposal lead, or technical writer
  • Participates in corporate initiatives or special projects, as needed
  • Fosters and demonstrates a workplace inclusive of creating opportunity, serving others, building trust, innovation and exceeding expectations
  • Performs other duties and responsibilities as require

Requirements:

  • Minimum 5 years of relevant work experience
  • Bachelor’s degree required; Master’s degree in business administration or other related field preferred
  • Ability to solve complex technical, managerial, or operational problems and evaluate options based on relevant resources, well-rounded experience, and knowledge
  • Demonstrated knowledge of current best practices and trends in executive management, board management and corporate governance preferred
  • Experience working with executives to implement key strategies preferred
  • Demonstrated ability to effectively lead teams and meetings, develop presentations and trainings for small to large audiences, and facilitate team discussions
  • Experience creating and managing project plans, continual improvement, and operations to support effective implementation of programs and initiatives
  • Experience and skill in designing high-level presentations
  • Knowledge of international development and experience living or working in developing countries preferred
  • English proficiency required; foreign language skills a plus
  • Strong verbal and written communication skills and attention to detail
  • Ability to handle confidential information and materials with discretion
  • Demonstrated integrity, independent thinking, judgment, and respect for others

The Salary Range for this position is expected to be: $84,320 - $105,400.

An employee’s pay position will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs.
