Travel Coordinator

Position Summary:

The Travel Coordinator will be responsible for logistical planning, financial accountability, training, and other operational functions as a vital member of MSI’s Travel Department, which is responsible for all project, corporate, and business development travel. This team works with the Deputy Director of Global Security & Operations and other corporate staff to coordinate and develop practices, policies and tools utilized across the company. This position will report to the Travel Manager and will also support the Deputy Director of Global Security & Operations in some safety and security measures along with their regular duties. The preferred location for this role is in the Washington, DC Metropolitan area.

Responsibilities:

  • Coordinate pre-departure, travel, and transit logistics for all travelers.
  • Provide assistance to travelers and project teams in the event of flight cancelations or re-bookings when necessary.
  • Assist with researching destination and transit travel restrictions and regulations, including COVID-19 testing and quarantine requirements.
  • Ensure travel follows relevant contract regulations, such as USAID, World Bank etc.
  • Provide support as Crisis Management Team member in emergency situations.
  • Monitor travel and intelligence provider alerts and develop solutions to near-term issues potentially affecting travel, such as inclement weather, organized strikes, global events, etc.
  • Research visa requirements for travelers, entry restrictions, and other relevant travel concerns.
  • Compile and maintain a weekly travel report of all MSI employees on work travel.
  • Provide travel records to accounting department for billing of trip related costs.
  • Maintain and update travel department files and collections with relevant policy and practice information.
  • Develop and maintain working knowledge of commonly cited USG regulations and advise project teams on both internal policy and regulations.
  • Maintain and update database for all related travel forms required by United States Government (USG) regulations and internal policy.
  • Ensure accurate travel data is being tracked through automated system for travelers and ensure any travelers outside of this system are entered properly.
  • Maintain internal travel manual with guidance from senior team member for use within department.
  • Support the development of safety and security manuals, contact information, and training.

Qualifications:

  • Bachelor’s degree required.
  • Minimum two years of relevant/direct experience in logistical planning, event planning or other operational role required, preferably in an internationally focused organization.
  • Experience working with visa procurement strongly preferred.
  • Experience in international work/travel strongly preferred.
  • Knowledge of USAID regulations is preferred.
  • Demonstrated attention to detail, flexibility, resourcefulness, and creative problem-solving skills.
  • Demonstrated comfort level presenting complex travel plans in clear and concise manner.
  • Ability to relate and maintain calm in high stress situations.
  • Ability to make independent decision following standard policies and procedures and to exercise proper discretion and judgement.
  • Ability to handle multiple tasks requiring a high degree of attention to detail with changing levels of priority.
  • Ability to work independently as well as with all levels of management and staff.
  • Ability to balance appropriately between independent action and referring issues to supervisors.
  • Strong computer skills including Microsoft Word, Excel, Outlook, photo-editing software, etc.
  • Strong organizational skills.
  • Strong verbal, interpersonal, and written communication skills in English.

Pay Transparency Statement:

We are committed to taking a thoughtful, compliant, and equitable approach to employment compensation. We commit to providing a holistic comprehensive salary analysis, including reviews of individual skill sets and compensable factors related to qualifications, business needs, internal compensation data, and industry and labor market surveys. The anticipated pay range for this position is $48,800 to $55,000 USD.
