Unpaid INTERNSHIP - Administrative Assistant/Receptionist – Arlington, VA

Effective with the release of this position announcement, Winrock International will be recruiting applicants for the position of Administrative Assistant/Receptionist Intern for its office in Arlington, Virginia. The responsibilities, duties and qualifications for this position are described in the attached position description.

POSITION DESCRIPTION

LOCATION: Crystal City, VA

POSITION TITLE: Intern - Administrative Assistant/Receptionist/AAII

DEPARTMENT: Operations

REPORTS TO: Manager for Human Resource and Office Operations

POSITION SUMMARY:

The Intern-Administrative Assistant/Receptionist greets callers on telephone and in person, routes calls as required, and performs various administrative duties as time permits. Handles all calls and visitors in a friendly, professional, positive and helpful manner.

MAJOR RESPONSIBILITIES:

  • Operates central telephone system; forward calls as required, greets visitors and responds to inquiries.
  • Processes and posts all incoming and outgoing mail; notifies staff of packages and faxes, wrap and send packages requiring special handling; act as central pick-up and delivery agent for incoming and outgoing mail, faxes and courier services.
  • Maintains schedule of four conference rooms.
  • Maintains inventory and an adequate level of general office supplies; assists with supply orders, distribution of administrative items, and invoices.
  • Prepares end of month accounting reports for postage machine and copier charges.
  • Handles minor accounting activities as needed, verifies and prepare shipping, courier, taxi, and other invoices for payment.
  • Coordinates service calls for office machines; acts as alternate key operator for main copier, fax, and postage machine.
  • Arranges ground transportation services and makes hotel reservations for staff and guests.
  • Creates and maintains Excel spreadsheets to keep track of the parking passes, employees addresses and phone numbers, and various office phone lists, etc.
  • Keeps the front desk and the kitchen areas neat and fully stocked.
  • Performs other tasks as assigned.

QUALIFICATIONS AND BACKGROUND:

Education: College degree or equivalent required

Experience: some relevant work experience

Skills: Courteous, professional and pleasant manner; neat appearance; excellent and pleasant telephone skills, strong communication and Microsoft office suite skills, and positive and energetic interpersonal skills
