Administrative Assistant DRC- Bukavu

Background

The purpose of this project is to provide logistic and administrative services to USAID/Office of U.S Foreign Disaster Assistance (OFDA) staff, USAID/DRC Mission staff, and authorized United States Government (USG) temporary duty (TDY) personnel while they are traveling primarily in North and South Kivu provinces in eastern Democratic Republic of the Congo (DRC) for official business. Logistic and administrative support is required, particularly for the care and maintenance of OFDA/USAID DRC Mission-owned vehicles based in Goma (North Kivu) and Bukavu (South Kivu). The purpose of this project is to ensure that USAID personnel are able to travel to monitor USAID-funded projects and humanitarian assistance and maintain important UN and INGO humanitarian contacts.

Position

Macfadden seeks an Administrative Assistant for the above-named project. The Bukavu-based Administrative Assistant provides all administrative support activities and coordinates procurement of admin equipment and supplies for South Kivu operations. The Administrative Assistant reports to the Program Assistant.

Position Length

1 year with possibility of renewal


Responsibilities (but not limited to):

  • Ensures all vehicles are maintained, and drivers are vetted and available for each assignment.
  • Works directly with vendors to ensure the maintenance and security of vehicles in Bukavu.
  • Manages all communications and radio equipment and oversees safety of all staff, consultants and drivers.
  • Maintains activity calendars and team schedules. Manages meetings, event scheduling, and documentation preparation.
  • Organizes meetings, calls, or other events, including sending invitations and reminders.
  • Creates and manages a filing system for the project office.
  • Supports the onboarding of new staff from an administrative standpoint
  • Assists with travel reservations, system updates, and vehicle maintenance requests.
  • Supports financial reconciliations and gathering of back-up documentation.
  • Provide necessary inputs for project reporting.
  • Perform other duties as assigned.

Qualifications:

  • Degree in logistics, procurement, administration, or related field preferred.
  • 4+ year of specific experience relative to the position required.
  • At least 3 years of logistics and administrative experience in the DRC.
  • Strong organization and attention to detail skills.
  • Good written and speaking skills in French and English.
  • Experience working in Eastern DRC preferred.
  • Previous experience working with USAID or other donor-funded projects preferred.
  • Strong computer proficiency required including Microsoft Office suite and Google suite.
