Job Description
We are continuing to build our bidding function and exciting opportunities for Bid Administrators to support the planning, organization and monitoring of all aspects of the bidding process from pre-positioning, Expression of Interest & Tender through to the conclusion of contract negotiations.
Key Responsibilities:
- Provide administration support on Expressions of Interests & Tenders for a variety of different donors (e.g. Department for International Development, European Commission, World Bank, Asian Development Bank & UN). This includes as relevant: sourcing relevant capacity statements, formatting of CVs, searching and formatting project references and completed supplier specific forms as required by the client concerned
- Providing advice and assisting with relationship management with consultants and external organisations
- Opportunity searching & project tracking including market and project related intelligence
- Managing the data for which they are responsible to ensure the availability, integrity, confidentiality and security of the data.
- Ensure bid data is updated regularly & accurately to aid production of bidding statistics & analysis
- Prepare and regularly update the bid preparation timetable
- Collaborate closely at all stages of the bidding process with the Consultant and other members of the project services team, and service leaders as required.
- Provide support to Consultants in developing the project budgets and ensure all budgets are passed to the Project Finance Manager for consultation and review.
- Ensure bid prep team are aware of internal finalisation dates & advise team so a timely submission can be managed
- Provide support to the Consultant during post-proposal stages of the bidding and provide full hand-over to the appropriate project administrator.
- Manage data for which you are responsible to ensure the availability, integrity, confidentiality and security of that data.
- Support consultants with pre-positioning visits (flights, visas, and hotel), workshops, etc.
- Supporting low-medium value projects, or shadow support to larger bids
Person Specification:
- Pro-active & flexible approach to work: ability to work on own initiative
- Excellent organisation & administrative skills with strong attention to detail, strong time management / prioritisation skills & evidence of previous experience
- Flexibility to cope with several jobs simultaneously to agreed deadlines
- Numerical confidence, with the ability to analyse budgets, excellent financial and commercial acumen
- MS Office, particularly advanced levels of Word, Excel and PowerPoint
- Written skills including ability to summarise complex documents
- High standard of both written and spoken English
- Editing and proof-reading skills & high level of accuracy
- Professional with strong communication skills with the ability to deal with people at all levels
- Ability to work effectively as part of a team
Desirable skills:
- Education to degree level would be preferable
- Research skills desirable
- Knowledge and experience of the international development business would be desirable
- Fluency in French would be an advantage but not necessary
