Job Description

Chemonics seeks a Data Entry Clerk for USAID’s Climate Finance for Development Accelerator (CFDA). The Data Entry Clerk, ERP Support is responsible for performing administrative tasks that contribute to the efficient operations of CFDA. As CFDA scales up and executes more buy-ins, we anticipate an increasingly large volume of subcontractor and grantee payments that will be processed through Chemonics/Washington. The clerk will be responsible for facilitating subcontractor and grantee payments through Chemonics’ employee resource planning system (D365) and for documenting those payments in CFDA’s other tracking systems. In this capacity, the clerk follows established processes and procedures that address the administration of the company-wide enterprise resource planning (ERP) system and CFDA’s project-specific tracking systems. The data entry clerk will be assigned routine and defined tasks as directed by supervisor. Responsibilities:

  • Sets up new vendors (subcontractors, grantees, consultants, etc.) in the ERP and verifies new vendor set ups
  • Verifies newly uploaded purchase agreements and sets up new purchase orders for subcontractors and grantees, working with the Project Management Unit to ensure alignment with contract terms and collaborating with Accounts Payable to comply with Chemonics policies and procedures
  • Inputs invoices from partners, consultants, and vendors, follows up with Accounts Payable and Cash Management teams to ensure payments are processed smoothly, and tracks snf captures outgoing payment transfers to confirm execution
  • Once payment has been made, updates subcontractor or grantee records in CFDA’s customized tracking platform in AirTable and saves relevant back up documentation to SharePoint
  • Submits ChemSupport tickets and works with the ERP team to resolve data entry issues as needed, escalating issues to supervisor or the PMU when necessary
  • Performs additional duties and responsibilities as assigned.

Qualifications:

  • 0-2 years job-related experience, with data entry, clerical tasks, filing, cataloguing, retrieving, and preserving records preferred
  • Knowledge of Microsoft Office applications required; prior experience with Microsoft D365 preferred
  • Communicates clearly and concisely in verbal and/or written communications
  • Demonstrated experience multitasking with attention to detail, organization, and time management skills
  • Demonstrated experience following standard practices and procedures, receiving general instruction and supervision, and contributing to projects and initiatives, whether in an academic or professional setting
  • Excellent customer service and interpersonal skills
  • Works independently and as part of a team
  • Demonstrated resourcefulness in problem-solving and initiative to learn new skills
  • Demonstrated leadership, versatility and integrity
  • English fluency required.

The Hourly Pay Range for this position is: $25.27 - $31.59.
