About the Position

Under general direction, the Office Manager provides executive, administrative and financial support to the Defence Attaché and assists in coordinating the associated Defence Programs.

The key responsibilities of the position include, but are not limited to:

  • Manage the administrative activities, financial resources, and assets of the office, including the Defence vehicle, and ensure the delivery of support services meet operational and organisational requirements
  • Manage and maintain the finances and budget for the Defence section, monitor expenditure, prepare financial estimates and reports, exercise financial delegations, and advise on budget issues
  • Provide high-level executive and administrative support to the Defence Attaché, including diary management and travel arrangements
  • Plan and coordinate Defence special events and high-level visits
  • Prepare a range of written correspondence, including briefing materials and visit programs
  • Liaise and collaborate with the Regional Australian Language Adviser regarding visits and programs, and assist with Defence language system (ADFELPS) rating as required
  • Act as the Defence representative on Embassy committees as assigned by the Defence Attaché
  • Supervise the day-to-day operational work and task allocation of the Driver/Administrative Assistant and Defence Support Officer
  • Undertake human resource activities related to the Defence section, including payment of monthly salaries, performance reviews and managing staff leave
  • Maintain a record management system by creating, storing, sharing, sentencing, and disposing records according to Defence policies and guidelines
  • Plan, organise and complete other special projects as directed by the Defence Attaché

Qualifications/Experience

  • Previous management and administration experience, and/or relevant qualifications/training
  • A demonstrated level of strong administrative, financial, and budgetary management skills
  • Strong computer literacy skills, including Microsoft Office Software (essential), with particular emphasis on spreadsheet applications
  • High level written and spoken English language skills

Note

This position is a designated security assessed position. Applicants must be Australian citizens or a citizen of another country who has an existing government security clearance. Employment in the advertised position is dependent on the employee having or acquiring a valid DFAT recognised security clearance. Security clearances can take several months to process, and employment cannot be commenced until an appropriate clearance is confirmed. There is no guarantee that the successful candidate for the position will be successful in obtaining a clearance. The inability to obtain a clearance prevents that applicant from being employed and loss of a security clearance at any time will lead to termination of employment.
