As an Event Production Manager, you’ll deliver high-profile international events that serve as live journalism—a cornerstone of our media platform. Imagine high-profile news summits held alongside major global convenings on topics such as climate action, global health, and food security, complemented by intimate roundtables and workshops designed to foster collaboration and connection.This role calls for a problem-solver who thrives in dynamic environments, adept at balancing the big picture with the intricate details that ensure every element is flawlessly delivered.

Responsibilities:

Event Planning and Coordination

  • Venue and Vendor Scouting: Research and secure venues and vendors, maintaining a roster of options for frequently used global locations.
  • Contract and Budget Management: Working with the EVP and finance team, negotiate contracts, monitor budgets, and ensure vendors meet event and partner requirements.
  • Vendor Management: Manage and coordinate vendors and freelance support during events, ensuring all aspects of production run smoothly and troubleshooting any issues that arise.

Run-of-Show & Audience Experience

  • Developing and Updating Run-of-Show Plans: In coordination with the program teams, create and maintain detailed run-of-show documents, capturing every element—timing, speakers, transitions, A/V cues, catering schedules, and last-minute changes—to ensure seamless execution and goals.
  • Coordinating Team Roles and Responsibilities: Create day-of roles and responsibilities plans for both internal team members and external contractors, ensuring seamless collaboration and efficient execution of the event.
  • Day-of Stage Management: Oversee the live execution of the run-of-show, coordinating with the program team, and, when needed, additional freelancers for the day of support, and troubleshooting issues as they arise.
  • Audience Experience Mindset: Alongside the program teams, envision and enact a well-thought-out experience for event guests, partners, and speakers. Work with colleagues to ensure seamless registration processes, engaging on- and off-stage moments, and thoughtful touches that enhance the overall attendee journey and leave a lasting impression.

Program Management

  • Cross-team Coordination: Coordinate seamlessly between the editorial teams driving programming, the teams managing sponsor and partner relationships, and the marketing and audience engagement teams to ensure alignment, consistency, and smooth collaboration.
  • Program Details: Using project management tools, keep track of all program elements, including speaker names, titles, session descriptions, timing, and venue-specific considerations for large summits.

Signage and Registration

  • Coordinate signage needs, ensuring they align with partner commitments and expectations.
  • Manage name tag and registration process, ensuring an efficient experience for speakers, partners, VIPs, and attendees.

A/V and Creative Coordination

  • Oversee audio-visual and creative elements in collaboration with the marketing and editorial teams and a production associate, ensuring high-quality outputs for in-person and livestream events.
  • Coordinate the development of visual assets such as intros, outros, transition slides, stingers, and videos that elevate the Devex and our partners brands and engage audiences

Skills & Qualifications

Required:

  • 3-5+ years of experience in event production
  • Exceptional organizational and time-management skills with the ability to oversee multiple moving parts
  • Strong communication skills to coordinate with cross-functional teams, partners, and vendors
  • Experience contributing to the successful execution of high-profile, high-stakes events with a focus on audience experience, whether in a leading or supporting role.
  • Experience orgnazing smaller-scale events like roundtables, dinners, and panels with equal attention to detail and impact
  • Experience managing budgets and negotiating contracts with vendors
  • Creative problem-solving skills with the ability to troubleshoot and adapt during live events
  • Ability to work effectively with a global team in a remote role working hours that overlap with either US Eastern Time or Central European Time to coordinate with clients and colleagues
  • Ability to travel internationally 3 to 5 times a year
  • Bachelor’s degree in a related field

Preferred:

  • Familiarity with A/V technologies and livestream production
  • Experience in video editing and production
  • Interest or experience in audio and podcast production a bonus
  • Experience working with news and media organizations a bonus
  • Understanding of or interest in global development issues
