Position: Finance and Administration Assistant
Location: Bangkok, Thailand
Reports to: Senior Finance, Grants & Compliance Officer
Organisation: Southeast Asia GBV Prevention Platform Secretariat

b)   Background
The Southeast Asia Gender-based Violence (GBV) Prevention Platform is an AUD$20 million Australian Government investment over five years (2024-2029) to enhance GBV prevention in Southeast Asia. The Platform is driven by a regionally led Secretariat to enhance primary prevention efforts, amplify evidence and support innovative approaches in the prevention of GBV.

c)      Summary of the Position
The Finance and Administration Assistant will play a critical role in supporting operational efficiency and compliance across finance, administration, and HR functions. The role will provide comprehensive financial and administrative support to ensure smooth functioning of Secretariat operations, compliance with donor requirements, and effective coordination between senior officers and the wider team.

d)      Scope of Work
The Finance and Administration Assistant will support financial transactions, maintain accurate records, assist in HR, procurement, safeguarding processes, and coordinate administrative and logistical tasks. The role will support adherence to DFAT and organisational policies.

e)      Key Responsibilities

Finance Support:

  • Assist in processing payment requests, fund transfers, fund requests, and bank reconciliations.
  • Conduct initial review, track submission and filing of partner/sub-contractor reports
  • Organise and maintain accurate financial records/supporting documents.
  • input data into accounting systems.
  • Assist in audit preparation.
    • Procurement, Administration & Logistics:
  • Coordinate travel arrangements, procurement processes, and office supplies.
  • Organise events/meetings/workshops and maintain filing systems.
  • Assist in maintaining the platform asset register.
  • Perform other related duties as may be assigned to support team objectives and organisational needs.
    • HR & Safeguarding Support:
  • Assist with recruitment process, onboarding, and safeguarding training.
  • Assist in HR administration, timesheet, leave, and health insurance.
    • Compliance:
  • Assist in ensuring adherence to DFAT and organizational compliance requirements. 

f)        Required Qualifications:

  • Bachelor’s degree, in Finance, Accounting, Business Administration, or related field.
  • Minimum 4 years in finance and/or administration roles.
  • Experience working in development sector particularly donor-funded programs. Experience working on DFAT-funded programs is a distinct advantage.
  • Demonstrates strong computer proficiency, with advanced skills in MS 365 applications, particularly accounting systems, Word, PowerPoint, and Teams.
  • Demonstrated commitment to feminist principles, locally led development, and inclusive practices. 
  • Excellent interpersonal, writing, and coordination skills. 
  • Ability to work both independently and in a diverse and collaborative team environment.  
  • Proficiency in English and at least one Southeast Asian language, both written and oral. 
  • Demonstrates high attention to detail and strong personal integrity.

Salary Information
This position offers a salary within the range of AUD 3000-4000 per month, based on the successful candidate’s experience and qualifications.
