Since formally launching in the UK in May 2019, we have quickly established a strong and diverse portfolio of UK Aid-funded programmes, in the UK we have a team of 65 employees however are growing fast. As part of our growth plans, we are looking to define the UK’s division as its own entity and looking for a Senior Programme Associate to join the team.

HR Assoicate Overview:

As part of our growth plans, we are looking to define the UK’s business line as its own entity and, in turn, have a HR Associate opportunity. Working as part of the wider HR team, the HR Associate role is a hands-on administration role responsible for supporting all people processes that form the employee lifecycle as well as supporting the HR Business Partner with ad hoc HR issues and initiatives.

The UK team is based in London; however, Chemonics are a global company; therefore, traveling to and working from international locations may be required, as business needs dictate, to successfully manage international relationships or projects.

You will be the first point of contact for staff queries related to policies, processes, compensation, benefits, staff care, and wellness, escalating complex issues to the HRBP. Providing information related to staff care services and connecting employees and projects to resources. In addition to this, you will:

  • Overseeing and issuing contracts of employment, amendment letters, ad-hoc salary, and bonus letters.
  • Collaborating closely with the UK-based HR team to coordinate day-to-day HR functions and activities, supporting troubleshooting emerging issues, and developing HR workflows, policies, procedures, and programs support activities and initiatives of the UK business.
  • Providing support to develop and review all HR policies and processes to ensure compliance.
  • Processing invoices for vendors and managing vendor relationships.
  • Establishing and maintaining strong working relationships with US HR colleagues, the Operations Team, and wider UKBL.
  • Supporting UK and proposal recruitment processes, including reviewing candidate CVs, coordinating communications with candidates, scheduling interviews, conducting phone screens, and participating in panel interviews as needed.
  • Processing and facilitating new hire onboarding and orientation, including new starter paperwork, obtaining employment references, and right-to-work checks.
  • Coordinating employees and the operations team to facilitate all end-of-employment processes, including acknowledging resignations, calculating leave entitlements, and conducting exit interviews where required.
  • Ensuring the integrity and accuracy of all people data, by updating and maintaining files, filing and computer systems, and trackers, including amendments for starters, leavers, and changes.
  • Acting as an HR systems administrator and champion, configuring the system as required, controlling all user access, managing data flows in and out of the system and ensuring accuracy and data protection compliance, and liaising with system providers to troubleshoot queries as required.
  • Supporting the accurate processing of monthly payroll for UK staff, including ensuring that all payroll reports are prepared and logged in time for the monthly payroll run and submitted to Finance and the payroll provider, for example, contractual variations, new starters, leavers, contractual benefits, and staff benefits.
  • Supporting the HRBP with employee relations matters, including logistical administration, drafting documentation, and notetaking in relevant meetings

Key skills and experience required:

The successful candidate will be able to work well under pressure and be able to work flexibly to manage competing priorities. Preferably , you will be educated to a degree level or have relevant work experience in a similar HR capacity within a professional environment. Other skills and experience required include:

  • Experience in handling routine administrative tasks associated with the employee lifecycle.
  • A strong track record of understanding and guiding employees on HR policy and strategy, including experience in coaching managers through this.
  • Participation in monthly payroll processes.
  • Optimising the use of HR information systems and data, managing and/or making a significant contribution to changes and improvements to HR information systems and management reporting.
  • Working knowledge and understanding of employment law, HR best practices, and people policies and procedures.
  • Strong knowledge of MS Office applications and HR information systems.
  • Demonstrated ability to follow standard practices and procedures, receive general instruction and supervision, and contribute to projects and initiatives.
  • Demonstrated strong organisational skills, discretion, and ability to manage confidential information.
  • Demonstrated ability to communicate clearly and concisely, both verbally and in writing; strong cross-culture communication and sensitivity skills.
  • CIPD Level 3 or level 5 qualified, with evidence of continuous professional development.
  • Knowledge of the FCDO and other international development funding mechanisms and their operations is strongly preferred.
  • International experience preferred; experience working in an HR capacity for an international development firm is highly desired.
