Job Description
The Travel and Logistics Coordinator is a member of the Travel Logistics Division.
This person is responsible for implementing travel and logistics related activities, with a particular focus on the design and coordination of in person events (meetings, workshops, training and conference style event), online/hybrid events (Such as webinars, virtual meetings, online asynchronous courses); ensuring compliance with federal regulations and internal processes. The ideal candidate is a highly motivated individual who has great attention to detail and can work both independently and as a part of the team.
Key Job Functions.
- Designs and coordinates events, workshops, and training.
- Designs and coordinates online and hybrid events (webinars, virtual meetings and courses)
- Implements travel arrangements (including but not limited to airfare, lodging, expense reimbursement, ground transportation and visas) and logistics (including but not limited to venue, catering, interpretation) of CRDF Global funded projects.
- Interacts with clients (internal and external) to ensure full customer satisfaction.
- Strong knowledge and experience with Concur Travel and Expense
- Manages project level budgets and ensures arrangements are within budget.
- Initiates, approves, and executes payments.
- Maintains and reconciles company issued credit cards
- Ensures compliance with US government regulations, funder requirements, internal policies and procedures and follows best practices.
- Communicates with funder(s), travelers, grantees, and contractors.
- Addresses routine financial and administrative issues that occur during a project.
- Maintains and updates electronic records and databases.
- Supports business development and proposal efforts.
KEY QUALIFICATIONS
- Minimum of two years of relevant work experience in project support, administrative and travel and event logistics management.
- Experience with Concur Travel & Expense
- Prior working experience at an international travel agency or as a travel coordinator at a multinational corporation or NGO.
- Expert level experience with SABRE (preferred) and/or other GDS (Amadeus, Worldspan, Galileo or Apollo)
- Knowledge of IATA BSP and international fare rules, split ticketing and Code Sharing
- Previous experience at an international airline rate desk a plus
- High competency with technology and experience with Microsoft office suite
- Strong experience with Online communication hosting platforms such as Zoom, Webex, etc.
- Minimum of one-year work experience in an international organization.
- High School (minimum) Bachelor’s Degree (preferred)
- Project management skills
- Strong customer service expertise and focus.
- Understanding of US federal travel regulations (Fly America/Open Skies)
- Authorized to work in the United States
Desired Skills:
- Experience creating and managing budgets
- Demonstrated ability to build and maintain effective working relationships across functions, organizations, and suppliers
- Experience working in a fast-paced environment with competing priorities.
- Foreign language proficiency – Spanish or French (a plus)
- Proficiency with Microsoft Office (Word, Excel, Project)
- Deltek Costpoint experience (a plus)
- Strong attention to detail and organizational skills.
- Solid critical thinking, writing, and editing skills.
- Excellent and effective written and oral communication skills and the ability to interact with a wide range of individuals from varied backgrounds at all levels within the organization.
- Strong time management skills and ability to deliver services on time, on budget and in accordance with funder expectations.
- Willingness to travel domestically and internationally.
