Job Description

About the Role

The Stores Intern will support day-to-day store activities in Malawi by assisting with stock handling, documentation, and basic inventory controls. This role is designed as a learning and support position, providing hands-on exposure to stores and inventory operations while working under close guidance from the Procurement Associate, and to ensure the correctness of inventory and adherence to standard operating procedures.

The intern will contribute to accurate stock records, orderly storage practices, and timely movement of goods, while building practical experience in supply chain and store operations

Responsibilities

Inventory Management

  • Assist with proper storage and labeling of inventory to ensure items are easy to identify, track, and retrieve.
  • Support routine checks on stock condition, including visibility of damages, expiry, or irregularities, and flag issues for review.
  • Help maintain a clean, organized, and safe store environment in line with internal guidelines.
  • Follow established store procedures and safety practices during all store activities.

Goods Receiving and Dispatch Support

  • Support the receiving and dispatch of goods by helping verify quantities and basic specifications against delivery documents.
  • Assist in preparing and updating documentation related to stock movement and transfers.
  • Support quality checks for incoming goods and escalate discrepancies or concerns to the relevant team members.
  • Coordinate with requesters and logistics teams to help ensure the timely and accurate delivery of items.

Documentation, Systems & Reporting

  • With some Manager support, collaborate with Data Coordinators to ensure accurate and timely data entry.
  • Assist with filing, tracking, and organizing store records and delivery documents.
  • With guidance, support data entry and basic updates in inventory or tracking systems.
  • Help prepare simple reports or summaries related to stock movement and store activities when required.
  • The scope of the role can be expanded based on the intern’s performance and demonstrated capabilities.

Qualifications

Across all roles, these are the general qualifications we look for. For this role specifically, you will have:

  • Proficiency in procurement and inventory management.
  • Proficiency in inventory systems, storekeeping methods, and procedures is essential.
  • Organized and punctual.
  • Proficient in Microsoft Office.
  • Very good verbal and written communication skills.
  • Customer service-oriented
  • Data analytical mindset and skills
  • Advanced Certificate in Procurement & Supply Operations (Level 4,CIPS), or a Diploma/Bachelor’s Degree in Procurement, Business Administration, Management, or a related field
  • Minimum of 1 year of experience in Supply Chain or Store Management
  • Language: English required,

Benefits

Interns will be provided with a reasonable stipend for the duration of their contract. Rural area-based fellows will be provided assistance in locating suitable housing.

This role is only open to citizens or permanent residents of Malawi.
