The Receptionist position will support Macfadden’s contract with the United States Agency for International Development (USAID), Bureau for Humanitarian Assistance (BHA). Reporting directly to the Operation and Facilities Team Lead (OAF TL), the individual will assist the Team Lead managing the operation and administrative duties. The position requires a candidate with excellent judgment, reliability and outstanding customer service skills who is willing to go the extra mile for BHA. The candidate must also have exceptional problem-solving skills, and the ability to multi-task. The role is part of the Operations and Facilities team. This position will also require the ability to obtain a Secret security clearance.

EDUCATION, EXPERIENCE AND SKILLS

EDUCATION:

  • Bachelor’s degree preferred

EXPERIENCE:

  • At least one year of office experience, including internships

KEY RESPONSIBILITIES & ESSENTIAL FUNCTIONS

Reception/Administrative

  • Welcome and clear all guests to the 555 suite
  • Answer calls and emails from client and staff regarding their inquiries
  • Schedule and coordinate meetings and assist coordinating various other events
  • In support of the Operations and Facilities Team Lead, make sure all public areas are clean, neat and ready for visitor
  • Assist Operations and Facilities Team Lead with meeting catering, set-up, and technical assistance in collaboration with IT
  • Assist with maintaining office supplies and restock public stations when necessary
  • Provide support for event management when needed
  • Maintain staff lists and contact information.
  • Open, sort, and distribute incoming correspondence and packages.

Administration Support

  • Assist Project Management Team with event planning and basic financial reconciliations
  • Liaise with building management on all facility issues, to include HVAC, cleaning, maintenance, and staff request
  • Liaise with a variety of contractors to communicate equipment service
  • Work with the building to reserve the Rooftop and Atrium as requested by staff
  • Reserve meeting space on Concourse Level and de-conflict when necessary
  • Provide support to meeting organizers during meeting planning process and during meeting
  • Directs porters on janitorial needs as necessary
  • Assigns, activates, and deactivates building fobs as necessary, to include gym and bike room access
  • Enters supply orders as they are received by each division, in addition to maintaining general supplies
  • Assisting with updating and maintaining new hire orientation binders
  • Filing, both paper and electronic
  • Other duties/special projects as required
