The Role
The Property and Facilities Coordinator has key responsibility for providing central, property and facilities support to the Pacific Australia Skills Regional Head Office and Fiji Country Office. The role is responsible for overseeing the upkeep and smooth operation of a property or facilities, including managing maintenance, repairs, and ensuring compliance with regulations.
Roles and Responsibilities
· Provide property and facilities support to staff including undertaking allocated tasks from the Pacific Australia Skills Facilities Helpdesk and Maintenance Schedule or as directed by the Country Operations Manager. Also, provide solution of property and facilities related issues raised in the Workplace Health & Safety meetings.
· Liaise with stakeholders and contractors for approved facility upgrades/renovations, equipment installations and repairs; or as otherwise directed by the Country Operations Manager and/or delegate.
· Prepare Scope of work (SoW) and bill of quantity (BoQ) for all projects undertaken at Pacific Australia Skills Fiji and partner institutes.
· Ensure all technical documentation and works undertaken comply with Workplace Health & Safety and building regulatory requirements.
· Provide a high level of professionalism and customer service for Pacific Australia Skills, both internally and externally - ensuring timely communication between stakeholders.
· Support Pacific Australia Skills Campus Stores & Facilities Coordinator and the service providers, ensuring effective service delivery and that issues are resolved in a timely manner.
· Plan, coordinate and monitor service, repair and maintenance of assets and facilities and where applicable, ensuring the Pacific Australia Skills Facilities Helpdesk and Maintenance Schedule are up to date at RHO and Pacific Australia Skills Fiji Campus sites.
Selection Criteria
Essential Experience and Knowledge
· Post secondary level qualification or higher in related field with extensive experience in related field.
· Demonstrated experience in coordinating and implementing property and facilities maintenance and support.
· Proven ability in developing and maintaining systems to support facilities in a diverse organisation.
· Excellent written and verbal communication skills in English and good interpersonal skills.
· Demonstrated superior skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook.
· Demonstrated knowledge and ability to read technical/building drawings.
· Ability to work independently and collaboratively with multiple teams providing support including coaching and on the job training.
