Assist in drafting and formatting routine correspondence, reports, and presentations.
Set up and maintain office files and reference systems according to standard procedures.
Initiate, view, and track various financial and administrative transactions in WAVE (IOM’s ERP system).
Create Purchase Requisitions and Purchase Orders in WAVE.
Create new Vendor Accounts in WAVE.
Support the organization and administration of meetings, workshops, and events (e.g., arranging meeting rooms and other facilities).
Provide assistance with staff services such as travel, expense claims, and document retrieval.
Assist with travel arrangements, including transport, accommodation, and documentation.
Provide general support in recruitment processes, including circulation of vacancy announcements, interview arrangements, preparation of materials for interviews and technical tests, support with reference checks, and candidate communications.
Assist in the retrieval, drafting, and formatting of reports, letters, notes, and other Human Resources-related correspondence.
Monitor and replenish office supplies and support equipment maintenance.
Carry out clerical tasks to ensure smooth running of activities in the Unit.
Perform other duties as required.
Qualifications
Education
Bachelor’s degree in Business Administration, Finance, Human Resources, or related fields from an accredited institution.
Experience
Experience in administrative or financial support roles is desirable.
Familiarity with Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
Prior experience in international or multicultural settings is an advantage.
Skills
Excellent organizational and communication skills.
Strong attention to detail and ability to manage multiple tasks.
Ability to work effectively both independently and in a team.
Discretion and client-oriented approach.
Willingness to learn and adapt to new systems.
Languages
Required: Fluency in English (oral and written).
Desirable: Working knowledge of Danish is an advantage but not mandatory.
Duration and Eligibility
Duration
6 months, with the possibility of extension up to 9 months.
Eligibility
Candidates should have a specific interest in, or academic background relevant to, IOM programmes and activities.
Applicants may be holding a scholarship for internship placements in international organizations, or require the internship to complete their studies.
Candidates may be sponsored by governmental, non-governmental institutions, or academia for work relevant to both IOM and the sponsor.
Must be enrolled in a Master’s degree programme in Business Administration, Finance, Human Resources, or a related field at an accredited academic institution in Denmark.
