UNON serves as the UN headquarters in Africa, supporting UNEP, UN-Habitat, RCS, and other UN offices in Kenya with administrative, security, conference, and information services.
Post located in the Department of Security and Safety Service (DSS) within the Security and Safety Service (SSS) at Nairobi duty station.
Under the command of the Chief of Security, Deputy Chief of Security, and direct supervision of the Senior Administrative Assistant, the intern will:
Perform basic data entry and extraction functions, including processing access badges/passes for UN visitors, affiliates, and conference participants.
Screen and verify supporting documents for identity/access card requests following Standard Operating Procedures (SOP).
Use standard word processing packages to produce routine correspondence, reports, tables, charts, and graphs according to institutional standards.
Proofread written products for completeness, grammar, and typographical accuracy.
Maintain calendars/schedules, monitor changes, and communicate relevant information to staff.
Review, record, route, and process mail or other documents; gather background material; track follow-up actions.
Maintain files (paper and electronic) and photo databases for UN visitor badges.
Update and maintain large distribution lists; assemble documents, reports, and other materials for global dissemination, coordinating courier services as needed.
Review HR confidential information and tabulate data for service use.
Check the accuracy of simple calculations, codings, and data.
Photocopy a variety of documents and materials.
Deliver urgent mail/messages and identify incidents, commentaries, and critiques.
Assist with collection and analysis of data, preparation of data presentations, and reports for knowledge management, planning, and decision-making.
Perform other related duties as assigned.
Qualifications / Special Skills
Must be enrolled in the final academic year of a first university degree program in human resources management, business or public administration, social sciences, education, or related field (minimum Bachelor’s level or equivalent).
Degree program should be related to the duties of the internship.
Good knowledge of standard software applications, especially MS Word, MS PowerPoint, and MS Teams.
Demonstrated keen interest in the work of the United Nations and commitment to the ideals of the UN Charter.
Ability to interact successfully with individuals from different cultural backgrounds and beliefs, demonstrating tolerance and understanding of differing opinions.
Professional work experience is not required; academic training, advanced coursework, or skills should benefit the UN during the internship.
Languages
Fluency in oral and written English is required.
Knowledge of another official UN language is desirable.
Fluency is defined as “fluent” in all four areas (read, write, speak, understand).
Knowledge of another language is rated “confident” in two of the four areas.
