Job Description

The Associate Program Officer II is a self-motivated, well-organized individual with a keen attention to detail along with a strong customer service-oriented skill set to provide programmatic and all administrative support for an assigned portfolio of the Foundation’s funding programs. This includes grantmaking/sponsorships from the acceptance of applications through grant review, grant awards, and reporting. This position works closely and collaboratively with members of the Programs, ISOC, and Operations teams and directly supports the Program Officer. This role will support the Strengthening Communities/Improving Lives and Livelihoods (SCILLS) grant program.

The Associate Program Officer will be a well-organized, flexible individual with strong verbal and written communication skills who thrives in a fast-paced, globally diverse setting and is comfortable working in a start-up environment. A solid history of collaboration within and among teams is a must, as well as demonstrating initiative and resourcefulness.

Essential Duties and Responsibilities:

  • In coordination with the Program Officer and associated key ISOC staff, prepare and process all communications relating to the assigned programs including deadlines, internal and external review, and requests for information from grantees.
  • Conduct initial review of all grant applications to assure that they are complete and that all required information is included and properly addressed.
  • Provide guidance and coaching to the applicants to support successful applications, including facilitating assistance in accessing and navigating the Foundation’s online grants management platform.
  • Coordinate and manage the internal review process (if needed).
  • Coordinate the external review process as relevant, including assigning applications to the appropriate reviewers, ensuring reviews are submitted on time, and summarizing review feedback for grantees
  • Manage grantee correspondence via the Foundation’s grants management system.
  • Field and refer as necessary all follow-up questions from potential grantees, awardees, and unsuccessful applicants.
  • Maintain accurate and updated records of all applications and grants, including updating supporting documents as necessary
  • Support the Communications team in telling grant program stories of outcomes, success, and lessons learned.
  • Coordinate with the Monitoring, Evaluation and Learning team to ensure that impact is measured across the assigned portfolio.
  • Coordinate with relevant Internet Society Project Leads
  • Ensure grantee reporting is submitted per schedule, perform administrative due diligence on grant reports, correspond with grantee on any questions or requests related to reports, and process grant payments as needed.
  • Schedule regular check-in calls and coordinating select sit visits with grantees to ensure the timely and proper implementation of the grants.
  • Facilitate email and phone communication needs across multiple languages, including coordinating with translators and interpreters as relevant.
  • Support other colleagues across the Programs Team as needed, for training or backfilling time off.
  • Provide informal guidance to new team members.
  • Contribute to the needs of the overall Programs Team with demonstrated knowledge and expertise from the grantmaking field.
  • Propose and implement end to end programmatic launch plans.
  • Other duties as assigned.

Desired Qualifications:

  • At least 5-7 years of related customer-oriented experienced, preferably working in a grant-making organization.
  • Demonstrable ability to work in a remote, fast-paced, multi-cultural environment and interact quickly and skillfully with different internal and external constituencies.     
  • Excellent organizational and interpersonal skills; ability to prioritize many projects concurrently. 
  • Excellent verbal and written communication skills in English.
  • Spanish and French speaking language desired.
  • Ability to be flexible and work with minimal supervision.
  • Demonstrated experience solving complex, team-wide challenges and implementing changes
  • Must be able to prepare and deliver presentations in a professional manner.
  • Highly computer literate with skills in Microsoft Office and virtual platforms for collaboration and document management; knowledge of grants management systems (such as Fluxx) preferred.
  • Commitment to the Internet Society’s mission, values and objectives.
  • Experience working with a Globally distributed workforce and ability to work across time zones.
  • Excellent interpersonal skills with the ability interact positively in a multicultural and multidisciplinary environment.
  • Ability to travel as needed.
