The Role
The Customer Service Officer is the first point of contact at the Pacific Australia Skills, Samoa Country Office and is responsible for always being an excellent ambassador for the organization. The incumbent will prioritize managing the reception area to the highest standard, ensuring all students, staff, and visitors are greeted warmly and professionally, whether in person or over the phone. Providing excellent customer service and support will be central to this role.
Given the fast-paced nature of the Pacific Australia Skills reception, the successful candidate must be highly organized, proactive, and capable of effectively handling multiple tasks at once.
The incumbent will need to be well versed in the Pacific Australia Skills courses on offer and be able to confidently provide accurate information to potential students. They will also undertake general administration tasks as required.
Roles and Responsibilities
· Maintain an effective and efficient reception including
Meet, greet and attend to visitors, partners and students.
Answer incoming calls for business and redirect calls to appropriate staff. Take and deliver messages accurately and correctly.
Screen Pacific Australia Skills enquiries inbox and redirect email to staff; follow up and track responses.
· Assist the Corporate Executive Officer with events planning and organizing.
· Maintain a clean, tidy and safe reception area, meeting rooms and classrooms including bookings.
· Perform a range of various general administrative duties utilizing necessary office equipment.
· Provide accurate and efficient services utilizing various software packages including word processing, spread sheets and data input.
· Assist Student Administration & Welfare Coordinator with student and employer tracer surveys.
· Promote and market Pacific Australia Skills products and services at Education/ Careers expos and roadshows etc.
Selection Criteria
Essential Experience and Knowledge
· Minimum Diploma level qualification in a related field with demonstrated experience of 5 years or more.
· Excellent written and verbal communication skills in English and Samoan, excellent telephone skills, listening skills, professionalism, customer focus, time management and organization skills including the ability to prepare papers, briefing notes, correspondence and reports.
· Demonstrated proficiency in administrative skills and ability to adapt established practices to achieve objectives in a busy and complex work environment.
· Advanced skills in Microsoft Office Suite.
· Ability to work collaboratively as part of a small and dedicated team.
· Understanding of and commitment to Gender Equality, Disability and Social Inclusion (GEDSI), Child Protection, Prevention of Sexual Exploitation, Abuse and Harassment (PSEAH), prevention of human trafficking, environmental protection, anti-corruption and other DFAT safeguarding policies.
