Job Description

Duties and Responsibilities

  • Assist the Office of the Executive Secretary (OES) with website information management and public information tasks.
  • Create and update website content and communication materials.
  • Manage and create internal SharePoint sites, including access management.
  • Perform tasks related to strategic communications and public information.
  • Upload knowledge management products to the external website.
  • Undertake special projects related to communications and information shared by the OES.
  • Review internal administrative procedures and recommend improvements using technology and MS Office tools.
  • Research and propose solutions for budget monitoring activities.
  • Prepare checklists and templates related to standard operating procedures.
  • Perform tasks related to website migration.
  • Support day-to-day programme and budget management activities of the team.
  • Assist in preparing summaries of Senior Management Team meetings.
  • Research, analyze, and present information gathered from diverse sources.
  • Prepare meetings with different internal stakeholders as required.
  • Support various units within OES, including administrative support for OES management.
  • Undertake tasks related to head office support for the 5 Subregional Offices overseen by the Deputy Executive Secretary.
  • Perform other ad-hoc related duties as assigned.

Qualifications/Special Skills

  • Meet one of the following:
    • Be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher).
    • Be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent).
  • No prior professional work experience is required.
  • Field of study should be closely related to the type of internship applied for.
  • Good knowledge of standard software applications, especially MS Word, MS Excel, MS PowerPoint, and MS Teams.
  • Knowledge of Drupal, HTML, and CSS is desirable.
  • Must provide proof of academic enrollment or completion.

Languages

  • Fluency in spoken and written English is required.
  • Knowledge of an additional official UN language (Arabic, Chinese, French, Russian, or Spanish) is an advantage.
