Program Background

The Southeast Asia and Australia Government Partnerships program (SEAG2G) aims to deepen institutional relationships between Australia and Southeast Asia in alignment with Australia’s International Development Policy.  

SEAG2G supports Australian agencies to engage with their Southeast Asian counterparts across four thematic priorities:  
•    Climate Change and Energy Transition,  
•    Education and Skills,  
•    Sustainable Agriculture and Food Security, and  
•    Effective and Inclusive Public Institutions.  

SEAG2G is led by the Australian Department of Foreign Affairs and Trade (DFAT’s) Office of Southeast Asia, with DT Global as the managing contractor.  

The Role

Reporting to SEAG2G’s Finance and Administration Officer, the Administration Assistant will provide support to the SEAG2G team. This will include administration and logistics tasks assigned by the Finance and Administration Officer and other team members (such as the Operations Manager, Executive Director and Finance Manager) to support program delivery.

Key Responsibilities 
•    Carry out data entry, documentation, printing, and filling. 
•    Maintain a proper and user-friendly filling and document control system for recording and tracking all documents. 
•    Manage office supplies and stationery stock.
•    Support travel and logistics arrangements including liaising with travel and visa agents and obtaining quotes for venues and catering.
•    Support with recruitment including reviewing CVs, scheduling interviews and reference checks.  
•    Working with the broader Finance and Operations teams, support procurement processes and documentation for a range of expenses and activities, such as getting quotations, and generating purchase requests for all approved purchases for the necessary approvals.
•    Contribute to maintenance of the Program Asset Register. 
•    Maintain an Operations administration calendar and schedule appointments.
•    Distribute and store correspondence (e.g., letters, emails, and packages).
•    Support the implementation and application of Gender Equality, Disability and Social Inclusion (GEDSI), safeguards, climate change, localisation, monitoring, evaluation, research, learning (MERL) and other cross cutting issues across the program and sector.
•    Provide input and maintain records of information as required for the Annual Plan and Report, MERL Plan, GEDSI Action Plans and other SEAG2G planning documents.
•    Contribute to establishing fit-for-purpose templates and processes for SEAG2G.  
•    Provide regular communications and updates to the Finance and Administration Officer on the progress of assigned work activities.
•    Any other duties, as requested by the Finance and Administration Officer.

About You

You are an experienced administration professional with excellent communication skills and an eye for detail. You have experience in coordinating logistics and administration processes, preferably in DFAT or other donor-funded programs. 

You have a strong customer service focus and enjoy variety in your work. You build rapport easily, ensuring responsiveness, reliability, and results. 

You are a team player, who is interested in working in a flexible role for a development program. You are interested in working across a range of administration and coordination functions.  

This is a hands-on role for someone with a commitment and interest in building partnerships between Australia and Southeast Asia. You are curious and adaptable in working with multiple stakeholders and interrelate well with various cultures and sectors. 


•    Previous experience in a similar role (at least 3 years) in a development program context. 
•    Strong communication, organisational and stakeholder engagement skills.
•    Fluency in both written and verbal English.
•    Adept in the use of SharePoint and MS Office Suite of programs.
•    Comfort and experience with both digital and paper-based filing systems. 
•    Demonstrated attention to detail in implementing logistics, administration, and procurement processes.
•    Commitment to applying safeguards principles.
•    Commitment to advancing gender equality, disability equity and rights, and social inclusion.
